Position Summary
The Accounting Assistant is responsible for supporting the Accounting department by performing a range of routine financial and administrative tasks. Primary duties include assisting with payroll processing, bank reconciliations, accounts payable and receivable transactions, sales tax tracking, and daywork billing. This position requires a basic understanding of accounting principles and attention to detail to ensure accurate and timely financial recordkeeping.
Essential Job Functions
To perform this position successfully, the following responsibilities must be performed satisfactorily. - Process and record Accounts Payable transactions with accuracy and timeliness.
- Prepare and issue Accounts Receivable invoices.
- Post daily cash receipts and assist with maintaining up-to-date customer accounts.
- Perform monthly bank reconciliations and assist with account reviews.
- Report state and federal withholding taxes in a timely manner.
- Assist with Daywork Billings as assigned.
- Review sales and use tax status for jobs and work orders.
- Collect and maintain sales tax exemption certificates.
- Review and audit employee timecard entries weekly for accuracy.
- Prepare and issue employee reimbursements and subsistence checks.
- Set up new vendors and customers in the system and respond to information requests.
- Reconcile daily bank and general ledger activity, including ACH payments and receipts.
- Organize and maintain general accounting files and records.
- Generate payroll reports, including safety and certified payroll reports.
- Provide backup support for other accounting functions and team members as needed.
- Take on special projects or assignments as directed by management.
Knowledge, Skills and Abilities
- Associate’s degree in Accounting or related field, or formal accounting training with 2+ years of relevant experience.
- Prior experience with union payroll is a plus, but not required.
- Comfortable working in a fast-paced, team-oriented environment.
- Proficient in Microsoft Office, particularly Excel (basic formulas, sorting, filtering, etc.).
- Familiarity with accounting principles and best practices.
- Strong data entry, organizational, and communication skills.
- Demonstrated ability to maintain confidentiality and handle sensitive financial data responsibly.
- Proven track record of dependability, punctuality, and a positive attitude.
