Position Summary
We are seeking a detail-oriented and experienced Payroll Administrator to join our accounting department. The successful candidate will be responsible for ensuring accurate and timely payment of employees, managing all payroll-related tasks, and maintaining compliance with federal, state, and local tax laws and regulations. This role requires strong organizational skills, discretion in handling confidential information, and excellent communication ability.
Essential Job Functions

- Process weekly payroll for all employees, including salaries, wages, bonuses, and overtime.
- Manage and process payroll deductions, such as taxes, insurance premiums, and 401(k) contributions.
- Maintain and update employee payroll records, including new hires, terminations, and changes in pay rates or status.
- Review and ensure the accuracy of electronic timekeeping data and timesheets.
- Issue paychecks and manage direct deposit processes.
- Respond to employee inquiries regarding pay, deductions, and benefits in a timely and professional manner.
- Prepare and file quarterly and annual payroll tax reports, including Forms 941, W-2s, and 1099s.
- Coordinate with the human resources department to ensure proper flow and maintenance of employee data.
- Process garnishments, levies, and other court-ordered wage deductions.
- Assist with internal and external payroll audits by providing necessary documentation and reports.
- Process monthly union reports.
- Maintain special payroll rates and changes based on job specific requirements.
- Prepare certified payroll reports
- Stay up-to-date on changes to payroll regulations and labor laws.
Knowledge, Skills and Abilities
- A high school diploma or GED is required; an Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred.
- 3-5 years of experience in a payroll administration role is required, preferably in a union construction environment.
- Proficient in payroll software
